File Naming Guidelines
It is often impossible to properly identifiy a photographed item without size perspective. We therefore request that photograph files be renamed to describe the photographed item as completely as possible including size or capacity information and decorations, if any. Album database file naming restrictions limit the use of special characters so we have developed naming conventions to avoid use of restricted characters. Please follow these guidelines as closely as possible. If you can find the identical item in the existing albums on our web site, use the same filename we used followed by the glass color. Filenames are visible by hovering your mouse over the thumbnail image for a second. Ignore the information displayed on file size and dates.
1. The album database does not permit spaces within a filename so use the underscore character (_) where you need a space separation. The use of all lower case letters is recommended.
2. Start with the Cambridge line and/or item number. Item numbers should always be four digits adding leading zeroes if the Cambridge item number is less than four digits. Separate the line number from the item number with the hyphen (-) character. For example, a 3400/1 bowl would be recorded as 3400-0001.
3. Next would be the single most important word(s) to describe the item. This would be like bowl, candlestick, tumbler, cocktail, goblet, oyster_cocktail, tumbler_footed, etc.
4. Next would be size or capacity information. Use abbreviations such as "oz" or ounce capacity, "in" for inch, "lb" for pound, "qt" for quart or "gal" for gallon. If in doubt, spell it out. Fractions present another problem. Use "qtr" for ¼, half for ½, 3qtrs for ¾ , eighth for 1/8, 3eighths or 5eighths or 7eighths for other eighth sizes. Size numbers and words can be written together without the underscore character but whole unit numbers and fraction numbers must be separated with the underscore character. Here are some examples:
3in = 3 inches
3qtr_in = 3 and 1 quarter inches
3-3eights_oz = 3 and 3 eighths ounces
5. Next, include any additional relevent information about the item. Examples include the number of feet (3toed), number of compartments (4comp), etc.
6. Next, include identification of any decoration. It is not necessary to include both decoration numbers and names; use the shortest ID with abbreviations. For example:
e401 = plate etching 401 - old fashioned grape
eng515 = rock crystal engraving 515
eng_laurel_wreath = rock crystal engraving Laurel Wreath
d1001 = D/1001 gold encrusted Portia, etc.
7. Finally, include the glass color unless crystal which can be omitted.
If you are not sure if Cambridge used width or height dimensions, include both dimension and follow the height dimension with "_high". When a complete line and item number are known, the sequence of items 3 and 4 above can be reversed.
The last guideline is always applicable: If in doubt, spell it out.
Here are a couple of completed examples:
3400-0108_80oz_cocktail_shaker_no5_chrome_top_carmen.jpg = 3400/108 - 80 oz. Cocktail Shaker with #5 Chrome Top (Carmen).
7606_claret_or_hoch_4half_oz_long_stem_e_marjorie.jpg = 7606 4½ oz. Long Stem Claret or Hoch, Etched "Marjorie" (Crystal).
